The Talent Acquisition Coordinator is responsible for ensuring a smooth recruitment process for candidates. Their tasks include posting job openings in appropriate channels, organizing recruitment events and candidate travel, reviewing resumes, updating records, and handling various administrative duties. The role begins with processing applications and concludes with the final dispositioning of candidates.
Key Responsibilities:
  • Ensures the accuracy and transparency of the recruitment process, safeguards data security, and handles confidential information with the highest discretion.
  • Manages communication and formal correspondence with applicants throughout the recruitment process and provides administrative support to the regional Talent Acquisition team.
  • Assists with entry-level recruitment, from sourcing to pre-screening, when needed.
  • Coordinates recruitment events, oversees the purchase and organization of marketing materials, and maintains the marketing materials library.
  • Organizes candidate site visits, including arranging travel, accommodation, and car rentals, and ensures all related expenses are reviewed and submitted to the correct cost centers.
  • Updates and maintains content on the Talent Portal, including handling required translations.
  • Maintains standard operating procedures for talent acquisition and conducts regular reviews and updates.
  • Manages electronic files and records, including annual archiving and cleanup.
  • Builds and maintains functional relationships with external agencies involved in recruitment processes, such as medical and background check providers and relocation service agencies.

Requirements:
  • Fluency in both English and French to support regional operations.
  • Strong administrative experience with excellent attention to detail.
  • Well-developed communication skills, both written and verbal.
  • Intermediate or higher proficiency with MS Office Suite.
  • Proactive mindset with a focus on process improvement.
  • Background in HR or recruitment is preferred.
